Buying a scanner second-hand: what to check
Document scanners are a good second-hand purchase for an unusual reason: the part that wears is replaceable and the part that fails is free to check. But the order of checking matters enormously, because one question can rule out a device before you look at it, and it is not the one most people ask first. Confirm that the thing can still be driven by a computer you own, then worry about condition.
Check the software situation before anything else
A scanner with no working driver for your operating system is an ornament, no matter how clean it is. This is the first check because it is the only one that is absolute — a worn roller can be replaced, and an abandoned driver cannot be written by you.
Find out, before you commit money: does software for this model exist for the operating system you actually run, today? Will the operating system’s own built-in scanning utility drive it without vendor software? Does the device have any output route that bypasses the computer entirely, such as writing files to a card? Is there a community-maintained driver for it?
If the answer to all four is no, walk away regardless of price. The reasoning is set out at length in the driver is the part that expires, and it is the single most common way people end up with a working mechanism they cannot use.
The related question is whether the device’s scans would land somewhere you control. A model whose only path is a proprietary application that stores images in its own library carries the risk described in when the bundled software owns your scans — worth knowing before rather than after.
Then check what has worn
Assuming it can be driven, the condition questions are about the feed path, because that is where all the wear lives.
- Look at the pick roller and separation pad. Open the paper path and look at the rubber. A healthy roller has visible texture and a matte finish. A worn one is smooth and shiny, and a shiny roller slips. This is the most reliable single indicator of use.
- Ask whether those parts are still obtainable for the model. On a discontinued device this can be the real limiting factor. If consumables are unavailable, the working life is whatever is left in the rubber currently fitted.
- Look at the sensor strip for scratches. Dirt wipes off; a scratch is permanent and puts a line down every page you ever scan. Staples are the usual cause. Shine a light along the strip at a shallow angle.
- Find the sheet count if the device reports one. Some units track how many pages have passed through and will tell you through their software or a service menu. That figure is objective in a way that a seller’s account of light use is not.
- Check the rollers turn freely and quietly by hand, with the power off.
What matters less than people think
Cosmetics are close to irrelevant. Scratched plastic, missing feet, a yellowed case, and a scuffed lid have no bearing on image quality. A pristine exterior with a glazed pick roller is a worse buy than a battered one that has been maintained.
Original packaging and discs are also worth little. The disc is almost certainly older than any software you would want, and drivers for anything supported are obtained from the vendor rather than from the box. What is worth confirming is the power supply, if the device needs a specific one — a proprietary adapter that is no longer sold turns a cheap purchase into a project. Bus-powered devices sidestep that entirely, which is one of their quiet advantages: bus power, batteries and the scanner with no computer.
Test before you finish paying, if you possibly can
If you can put paper through it before money changes hands, do. Bring your own test batch — the faintest slip, the longest, the most crumpled — and count first-attempt feeds and files out versus items in. If you cannot test first, buy from somewhere that accepts returns and test immediately, in the first days rather than the first month. Specifically: run the batch, count the files, look at the edges of the narrow items, and scan a reference page to check for lines. Clean it before you judge it
Almost every used scanner feeds badly on arrival and most of them are fine after a clean. Assume the previous owner never cleaned anything, because most people do not. Wipe the sensor strips on both sides of the path, wipe the calibration reference area, and wipe each rubber roller by rotating it under a barely damp lint-free cloth.
Then re-run the test batch and compare. A large improvement means it was dirty and is now fine. No improvement on the feed rate means the rubber is worn and you need parts. One thing to do before the device leaves anyone’s possession
A scanner that scans to a destination has been configured with the credentials for that destination, and some devices retain scanned images in internal storage. Both persist through a sale. If you are buying, reset the device to factory settings and check for stored files. If you are selling, do the same before it goes — a receipt left in a device’s memory carries a vendor, a location, a date and part of a card number, and there is no reason for a stranger to have it. Whether an older device’s output is adequate as a record is a separate question from whether the device works, and it is not a technical one.
