Deskew, autocrop and auto-rotate: helpful until they aren't
Every scanner applies some automatic tidying before it writes a file: straightening the image, trimming away the background, turning the page the right way up, and removing what it takes to be noise. On office documents these features are close to free. On receipts they are making harder guesses than they appear to be, and when they guess wrong they usually do it without telling you.
What each one is actually doing
Deskew looks for the dominant straight edges in the image and rotates until they are square. On a full page with four crisp edges this is nearly certain. On a slip with a torn end and a wavy edge from the till’s cutter, the strongest straight line in the frame may be the crease down the middle, or the underline of a table in the print, and the image gets rotated to match that instead.
Autocrop decides where the document ends and the background begins by looking for the boundary between them. It relies on a contrast difference at the edge. A pale receipt on a pale backing gives it very little to work with, and its two failure modes are opposite: crop too generously and you keep a black margin, which is harmless; crop too tightly and you cut a strip off the document, which is not.
Auto-rotate infers which way is up, usually by trying to read the text and seeing which orientation makes sense. On sparse, upper-case, heavily abbreviated till print there is not much for it to work from, and a receipt arriving sideways or upside-down is common. That is cosmetic, and easy to fix.
Background removal, despeckle and auto-contrast are the group that concerns me most, because they delete rather than transform. Each one is a judgement about what on the page is not information.
The failure that costs you something
The dangerous combination is an aggressive crop on an item whose edge is hard to find. A slip is narrow, often pale, and frequently has print running close to one edge because the roll is narrow. If the crop lands a millimetre inside the paper, it takes a column with it — and the columns nearest the edges of a receipt are the ones carrying amounts.
The failure is silent by construction. The resulting file looks like a properly cropped receipt. There is no black margin, no visible seam, nothing that reads as damage. You only notice that the pence are missing from a line when you go looking for it, which is generally after the paper has gone.
Background removal has a similar quality. It works by identifying a dominant paper tone and flattening everything near it to white. On a slip where the faintest print is only slightly darker than the paper — which is every slip that has begun to fade — that flattening can take the faintest line with it. The file looks cleaner than the paper. It also contains less.
When to turn things off
A reasonable default policy for receipts specifically:
- Leave deskew on. Its worst case is an image at a slightly wrong angle, which is annoying rather than lossy, and its best case saves you real work.
- Set autocrop conservatively or off. A margin of background around the slip costs a trivial amount of file size and guarantees nothing was trimmed. If your device offers a choice between cropping to the detected edge and cropping to a fixed size, the fixed size is the safer option for narrow items.
- Leave auto-rotate on. Worst case is a sideways image you rotate yourself.
- Turn background removal, despeckle, and auto-contrast off for faint items, and decide per batch rather than globally if your device allows it. They are genuinely useful on clean modern slips and genuinely harmful on old ones. The exposure controls that help instead are in scanning faded thermal paper.
Skew is better prevented than corrected
Software straightening does not recover what the mechanism smeared. If a sheet rotated as it travelled past the sensor, the image was not captured at a consistent angle — different parts of the page were sampled with different geometry — and rotating the finished image afterwards squares up the frame without fixing that. Characters stay soft in the way that a slightly out-of-focus photograph stays soft after you straighten it.
So the fix for skew lives in the input tray, not the settings dialog. Close the paper guides onto the stack rather than leaving them wide, feed narrow items centred, and flatten curl before it reaches the rollers. Check the edges, once, deliberately
The habit that catches all of this takes ten seconds per batch: look at the four edges of one scan, not the middle. The middle is where you naturally look and it is where nothing goes wrong. Cropping, rotation, and background flattening all leave their evidence at the boundary — a clipped column, a sliver of missing print, a corner where the page ends before the paper did.
Do it on the first batch after any settings change, and then spot-check. The general principle
Automatic cleanup is a set of assumptions about what a document looks like, and a receipt is not that document. Every one of these features was tuned on rectangular, high-contrast, full-size pages with four clean edges. Applied to a narrow strip of coated paper with a ragged end and print running to the margin, they still run — they just have much less to go on, and none of them are built to announce a low-confidence result.
That is the case for turning the destructive ones off and keeping a slightly untidier file. An image with a black margin and a small tilt contains everything the paper did. A beautifully cropped one might not.
Whether the resulting file is adequate as a record is a separate question, and not one the settings answer. Requirements for the form records must take vary by country and by the kind of entity keeping them, so raise it with your own tax authority or an accountant in your jurisdiction.
