The multifunction printer as a receipt scanner
Before buying a dedicated receipt scanner it is worth asking whether the machine already on the desk will do. Most all-in-one printers have a flatbed, many have a document feeder on top of it, and a fair number can scan directly to a folder, a card, or an address with no computer involved. For a lot of people that is enough, and the honest answer to “should I buy a scanner” is sometimes “you have one”.
What an all-in-one does well for receipts
The flatbed is the genuinely valuable part, and it is the part dedicated receipt scanners usually lack. Anything fragile, folded, torn, stapled, thick, or too faint to risk in a feeder belongs on glass, and an all-in-one gives you that for free. It is also the mechanism that produces the most geometrically honest image, for reasons in sheetfed, flatbed, or overhead.
Scan-to-destination is the second advantage. A device that writes files without a computer in the loop is less exposed to software abandonment, which over a long habit matters more than speed — the argument is in the driver is the part that expires.
And the settings are usually all there. Colour mode, resolution, and often a brightness control, which are the controls that actually matter for a faint slip.
The three places it falls short
The feeder is sized for office paper. This is the main limitation and it is mechanical, so no setting fixes it. An all-in-one’s feeder is designed for standard sheets: the guides may not close down to a narrow till roll, the tray may not support a short item flat, and the separation mechanism is tuned for a paper weight receipts do not match. The result is more misfeeds, more skew, and more of the silent double-feeds described in how a document feeder works.
Whether this rules it out is entirely device-specific and cheap to test. Feed twenty real slips through and count how many come out straight and singular on the first attempt. If the answer is most of them, the feeder is fine for your purposes.
Length limits are usually tighter. Document-oriented feeders often cap the scan length at something close to a standard page, and a long supermarket roll exceeds it. Some devices truncate rather than error, which is the dangerous version — the constraints are in scanning very long receipts.
Defaults are chosen for documents. All-in-ones commonly default to a hard black-and-white mode with aggressive compression and background removal enabled, because that suits the office paper they were designed around. On a faded slip that combination is close to a worst case, deleting the faint print entirely. All of it is adjustable; none of it is adjusted out of the box. Maintenance is the same problem with worse access
An all-in-one’s feed path wears exactly like a dedicated scanner’s, and the symptoms are identical: polished pick roller means misfeeds, worn separation pad means double-feeds, dirty sensor strip means a line down every page. What differs is access. On a dedicated document scanner the wear parts are often designed to be swapped by hand; on a printer they can be considerably more buried, and they may not be sold as user-serviceable at all.
That is a point against long-term reliance on an all-in-one feeder for high volume, and a reason to keep the genuinely contaminated items — greasy restaurant slips, anything with adhesive — off it. The routine is the same either way: scanner cleaning and consumables.
There is also a small but real annoyance particular to combined devices: they generally will not scan when out of ink or in an error state, even though scanning does not need ink. Whether yours does is worth knowing before you rely on it.
How to decide, in twenty minutes
Do not reason about this. Test it, with your own paper, before spending anything.
- Take a representative handful of slips — including the faintest, the longest, and the most crumpled.
- Feed them through the printer’s feeder and count first-attempt successes and skewed results.
- Scan the faintest one on the flatbed in greyscale with cleanup off, and see whether the total is readable.
- Check the longest one for truncation by looking at the bottom of the file.
- Note how long the whole thing took, honestly, including walking to the machine.
If the feeder handles your slips and the flatbed rescues the exceptions, you do not need a scanner and the money is better spent elsewhere. If the feeder mangles them, you now know exactly what you are buying a dedicated device to fix, which is a much better basis for a purchase than a specification sheet. Where the printer’s location is the deciding factor
The most common reason an adequate all-in-one goes unused is that it is in the wrong room. Receipt capture is a habit made of very small actions, and a device down a corridor turns each one into an errand. A slower scanner within arm’s reach captures more paper than a faster one you have to walk to, and that is not a statement about hardware at all.
If the printer is beside you, use it. If it is shared, in another room, or behind somebody else’s desk, the case for a small dedicated device — or for just using a phone — gets much stronger, and when not to buy a scanner covers when the phone wins.
Whether scans from any of these devices are acceptable as records, and for how long the paper must survive alongside them, is not a hardware question. The rules vary by country and by the kind of entity keeping the records, so take that one to your own tax authority or an accountant where you are.
