Scan profiles and the one-touch button

A scan profile is a saved bundle of capture settings with a name on it. A one-touch button is a physical or on-screen shortcut that runs one of those profiles without opening a dialog. Between them they decide what almost every scan you make actually looks like, because nobody sets resolution and colour mode by hand twenty times in a row. Getting one profile right, once, is worth more than any individual setting you will ever adjust.

What a profile actually contains

More than the settings you would think to check. A typical profile bundles the capture parameters — resolution, colour mode, duplex on or off, page size or auto-detect, compression level — together with the image cleanup stage, meaning deskew, autocrop, rotation, background removal and blank-page discard. Then it bundles the output: file format, whether pages become one file or many, the destination folder, the filename pattern, and often an application to hand the result to afterwards.

That third group is the part people forget exists. When a scan lands somewhere unexpected or arrives as a single enormous file instead of one file per receipt, the cause is nearly always the output half of a profile that was chosen for you. The capture half is what everyone inspects; the output half is what quietly determines whether the batch is usable.

The interaction between the two halves matters as well. A profile that captures at a modest resolution and then writes a heavily compressed file has made two separate decisions that both reduce what survives, and they compound.

Where the profile lives, and why that decides its fate

There are three places a profile can be stored, and the difference is not cosmetic.

  • In the device. Some scanners hold a small set of profiles in firmware so the button works with no computer involved at all, writing to a memory card or a network location. These survive a computer being replaced, which is the whole point, and they are usually the most limited.
  • In the driver or its control panel. The most common arrangement. The profile belongs to the driver, which means it belongs to that installed copy of the driver, on that machine, under that user account.
  • In an application. The scan is initiated by a document manager or filing program and the settings belong to it. This is the arrangement most likely to strand you, for the same reasons set out in when the bundled software owns your scans.

Anything stored in the second or third place is lost when you reinstall, migrate to a new machine, or switch user accounts, and it is lost silently — the button still works, it just runs a default. If a profile took you an afternoon to arrive at, write the settings down somewhere that is not the scanner. A plain text note listing resolution, colour mode, cleanup toggles and destination is the cheapest insurance available, and it is also what lets you reproduce the same capture on a replacement device years later.

The button is a shortcut to somebody else’s guess

Devices ship with their buttons already bound to profiles, and those factory profiles were tuned for the general case: office documents, letter or A4, colour, moderate compression, autocrop on, blank pages discarded. Every one of those defaults is defensible for a stack of printed pages and several of them are wrong for a narrow strip of coated paper with print running to the edge.

The specific defaults worth suspecting on a factory profile are automatic page-size detection, aggressive cropping, background removal, and blank-page discard — the first three for the reasons in deskew, autocrop and auto-rotate, the last for the reasons in duplex scanning, and what blank-page removal deletes. None of them announce themselves. The scan looks fine.

Build one receipt profile deliberately

The exercise is small and you only do it once per device.

  • Start from a copy, not from the shipped profile. Duplicate a default and rename it, so you can always compare against unmodified behaviour.
  • Set resolution once, on evidence. Scan your faintest and smallest-print slips at two or three settings and look at the results at full size rather than fitted to the window.
  • Choose the colour mode for the worst paper you have, not the average.
  • Make the destination boring. One folder, on a drive you back up, with a filename pattern that includes the date the scan was made. Do not let a profile write into an application’s private store if you can avoid it.
  • Set compression conservatively and leave it there.
  • Name the profile after the paper, not the settings. “Till receipts” tells you when to press it. “300 grey PDF” does not.

Two or three profiles, not twelve

The temptation after building one good profile is to build a profile per situation. In practice the number that survives contact with actual use is small: one for receipts, one for full-size documents, and possibly one for anything fragile or faint that needs the cleanup features off. Beyond that you stop remembering which button is which, and an unremembered profile is worse than no profile because you will press it anyway.

If your device has more buttons than you have profiles, bind the spares to the same profile rather than inventing work for them.

The profile will change without telling you

Driver updates reset profiles, and reinstalls create fresh defaults. This is the single most common reason a scanner that produced good files last year produces slightly different ones now, and because the change is in the settings rather than the mechanism it does not present as a fault. Nothing looks broken.

So treat a profile as something to re-verify rather than something to set. After any driver update, operating system upgrade, or reinstall, run the same small test stack you used to build it and compare against a scan you kept from before. That is the maintenance version of testing a scanner with your own paper, and it takes a couple of minutes. Keeping one known-good scan of a known slip, deliberately, is what makes the comparison possible at all.

What form your records need to take, and whether a particular capture setting produces something acceptable for that purpose, depends on rules that differ by country and by entity type. Raise that with your own tax authority or an accountant in your jurisdiction rather than inferring it from the options a driver happens to offer.
